Access database help

Hi,
I'm pretty new too Access 2000 and I have a database that I with the
details of peoples names, i.e. surname, forename, ref number. I have
another table with surname, forename, etc plus some other details,
including videos. For arguments sake, the first person is a parent,
the second is the child, and the videos belong to the child. The
problem that I am having is that on the form I can manage to get the
details of the parent on it with a subform of the child details but
when I add the details of the child via the subform and click add
record, the details aren't saved. I'm sure that I am missing something
really obvious here. There are also a few other things that I would
like to be able to do to the form. I would like to be able to link
each child to a video/s and then record the movement of that video to
various parties as well as give the video a unique reference number.
So the child may have 4 videos all the same, but each video has a
number that refers to the autonumber generated for the parent as well
as its own unique number, i.e. 37 – 2 (being video 2 of 3, and parent
37).
As well as all this I would ideally like to be able to add videos at a
later date, record their movement during the course of them being
tracked and provide a link to a standardised Word document, ideally
self filling (i.e. with Parents details, child details and amount of
videos received relating to the details on the screen).
I've got stuck at designing the form for the videos as I'm unsure of
how to link them all up. Any help would be appreciated, I am new to
Access so I don't know VBA or the majority of the
programming………… .nightmare.

What is 'add record'?

If you have a subform on the 'parent' form what field is linking the
parent form to the child subform- I can't see anything in your field list.

Now I am at home it will be easier to explain myself.
I have worked out this afternoon the initial bit but have become
somewhat stuck. Currently I have a table linked in a form to a another
table in a subform. The first table has the parents details on it, the
second table has the child details on it. The tables are linked via
the surnames or reference numbers of the parent to the child surname.
I have done this with relationships as I presumed this was the way to
go. They have then been displayed on a user friendly form with the
parents details in the main, and the childs details in the subform.
Each parent can have an unspecified number of children. Both entries
can now be scrolled through. The form then has controls to save
record, delete record and close form.
What I have become stuck with is how then to link this onto further
tables that will be able to record each videos details, again
displayed in forms. For instance, Mr Peter Smith has 1 child, Jane
Smith, who has seven videos,Jane lends video 1 to Karl Baxter on the
23 Sept 2003, video 2 to Emma Hunt on 10/10/2003, video 3 is left in
the cabinet........ ..etc.Video 1 is returned on the 22 October and
then lent to Ian Hunt on 23 October........ you get the idea.
Basically I need to be able to record this type of information on
tables, completely covering all the movement of the videos plus their
details i.e., when they were brought, length etc.
Each parent entry also needs to have its own reference number, ie
Smith, Peter -37, then each video would need to have its own reference
number, ie Jane Smith, 7 videos, reference number 37-1 for video 1,
37-2 for video 2.......but then Peter Smith could have 4 children, so
the reference numbers can continue in the format of 37-3, etc, but
never duplicate. I have no idea how to do this in
access......... ........
And lastly I then need to be able to link the details of the parent
into a word document that would give the details of the child and a
summary of the videos, ideally i would like this to be self
replicating.... ..basically this would be for a receipt to say that
Jane Smith is the child of Peter Smith, and she has 7 videos that were
given to her on the 23/7/2003.
This all sounds incredible anal but its work related so probably is. I
was sent on a one day access crash course and am now expected to
complete databases...... ...
Some of this I'm unsure of whether it can be done or not, but any help
would be very much appreciated. I'm sure that I will get there, it's
just taking a long time........... ........

Where do these videos come from? Is there some central list/library?

Hi,
The process is that at work we have videos that are delivered that
relate too children. The children are linked to adults. The process
currently is all paper orientated and I wanted to get away from this.
A video is received and you look up the adults details, these are
currently written on a form. The videos themselves relate to
interviews of children, who are specifically speaking about the same
subject. So you might get 3 videos of the same child being interviewed
3 times. This can apply for any number of children talking about the
same subject any number of times. Each video needs to have its own
refernce number, the current system is that the adult, when
registering his details will have a unique reference number, i.e.
37645, if there was one video received and the childs initials are
MWB, there reference number for that video would be 37645/MWB1, for
video 1, 37645/MWB2 for video 2 etc. What i need to be able to do is
track any movement from or within the workplace of those videos where
(logged)is. i.e. if 37645/MWB2 is received on 21/10/2003 (logged) then
sent to Mr SMITH outside of the workplace on 22/10/2003(logged) and
then returned to the workplace on 26/10/2003(logged). And so on.....

The tracing of the videos is what I am unsure of and how to give them
reference numbers similar to the ones above.
