Access 2000 Report - trouble with data entered in subforms

2 New Member
Hi everyone, basically my problem is this:

I am using an Access 2000 format.

And--I have four subforms in my main form. (Purpose of this is to track projects.) So in my main form I enter the project name, one primary point person for it (1:N list from a separate table), other details, and a manually entered tracking number, which is the primary key.

Now, I also need to put down the legal entities, business managers, financial controllers, and supporting staff, and since these just come from the same pool of people I decided to use subforms for them so I'd only need to type in their names once in the separate table and just select them on the main form if i need them. The subforms are properly working -- they allow me to select one or more entries for the other. Form's working perfectly too.

My problem is that the report I build--no matter how i group or sort!--displays only ONE entry from those four subforms/subtables, and then repeats everything until all the combinations have been entered. Say I have this Project Alpha, with Bob as my point person. For legal entities involved in this Project Alpha I have Entity A, and Entity B, and for business managers I have Manager R and Manager S, (and say we leave the others blank.). I have other details of course but, essentially this is what happens on the report, and where I have problems with using subforms:

Project Name: Project Alpha
Point Person: Bob
Tracking Number: 89554

Legal Entities Involved: Legal Entity A
Business Managers Involved: Manager R

Project Name: Project Alpha
Point Person: Bob
Tracking Number: 89554

Legal Entities Involved: Legal Entity B

Business Managers Involved: Manager S

Project Name: Project Alpha
Point Person: Bob
Tracking Number: 89554

Legal Entities Involved: Legal Entity A
Business Managers Involved: Manager S

Project Name: Project Alpha
Point Person: Bob
Tracking Number: 89554

Legal Entities Involved: Legal Entity B
Business Managers Involved: Manager R

.... The same project has four separate entries on the report just because I had two legal entities and two business managers selected in the subform! Imagine how many repititions I have with having multiple financial controllers and supporting staff... so I don't know what to do since I still want to retain the subform structure in the report. (I could just put multiple fields in the original table but this would defeat the purpose of access).

Anyone out there have this same problem before? I can't use the "view by" mode used in Access 2003 since I am formatting this using Access 2000 for an office that can't upgrade all its computers to '03. Not that that would matter, would it? : (

Have you tried using sub reports in the same way you used sub forms.

? ooh boy. okay i have never even heard of subreports before. I had a similar project in school where i only had one subform and it worked perfectly. Then I worked from there to create this database, i'm glad i posted here. Thank you so much! I'll look into it but it seems to solve my problem from what I can tell.

Hi, I've recently upgraded from Access 97 to Access 2002 & the performance basically stinks. I have tried the following items listed below but it has only had a minor impact: 1) Upgraded Jet 4 to Service Pack 7 2) Set Subdatasheet Name to from 3) Shortened the file name of the .MDB file 4) Made sure the Track name AutoCorrect info is off

I will try to be as descriptive as possible, but this error has me stumped and I am not sure what relevant info to include.... I am running Access XP on a Windows XP machine. I initially began developing an app in Access 2000 but converted it several months ago to XP. So the app is now Access XP format also. My app is crashing on a regular basis, with the totally non-descript Microsoft error (Microsoft Access has encountered a...

Hello Accessors I have some reports created in Access that are very good for what they do. However, it seems to me that when you are displaying information you don't need to print out that a printer-friendly report is not the best way to go. So, I tried converting one of my Access reports to an Access form. I selected the continuous view to allow displaying multple records but when I went to define my sorting and grouping there was none...

Hello, I have a situation with MS Access 2000 in which I need to display report data in spreadsheet orientation (much like a datasheet view for a form). If you think of the report in terms of what a spreadsheet might show, the column names will actually be dynamic, based on data from a SQL Server 2000 database. The row data will also come from the same database. So in this case, I will have a main report and a subreport. I've already tried...

Hi, I have a finished Microsoft Access app that we are distributing using an Access runtime. This works fine (mostly) but I'm sold on the advantages of dot.NET and upgrading to vb.NET seems like a good idea for the future. I'm also keen to develop new software in vb.NET as soon as possible. I will work out how to port the app and how to use ado.NET etc, however I'm not certain about all the things I need to consider hence the...

I am at best a part time developer of Access databases. I use Access 2.0, as this is all my employer has on its computers. Even so, to use this ancient version requires a fairly convoluted installation procedure on each PC on which it is used. I am self-taught from the help files that come with Access 2.0 and from painful experience. I've never attended any type of training course on how to develop databases in Access. I have no idea...

Is there a way to find out where an application was created from? i.e. - work or home i.e. - if application sits on a (work) server/network, the IT people know the application is sitting there, but is there a way they can find out if that application was put there from a CD or email or created at work? Hint: It's not on a client/server database, just native jet database mdb created on Access 2003 (default 2000)...

I have an access database which takes information from a user and then uses the mail merge functionality to merge the data into a word document. I have a lot of subforms in the access database which allows the user to keep entering data if they need to. By this I mean each subform is like a dynamic table (continous form view) and the user can keep entering data if needed. For example, one of the subforms asks the user to enter the names of...

Overview: Windows 11 and 10 have less user interface control over operating system update behaviour than previous versions of Windows. In Windows 11 and 10, there is no way to turn off the Windows Update option using the Control Panel or Settings app; it automatically checks for updates and installs any it finds, whether you like it or not. For most users, this new feature is actually very convenient. If you want to control the update process,...

Dear forum friends, With the development of smart home technology, a variety of wireless communication protocols have appeared on the market, such as Zigbee, Z-Wave, Wi-Fi, Bluetooth, etc. Each protocol has its own unique characteristics and advantages, but as a user who is planning to build a smart home system, I am a bit confused by the choice of these technologies. I'm particularly interested in Zigbee because I've heard it does some...

Let's talk about the concept of autonomous AI software engineers and no-code agents. These AIs are designed to manage the entire lifecycle of a software development project—planning, coding, testing, and deployment—without human intervention. Imagine an AI that can take a project description, break it down, write the code, debug it, and then launch it, all on its own.... Now, this would greatly impact the work of software developers. The idea...

Hello I'm a network technician in training and I need your help. I am currently learning how to create and manage the different types of VPNs and I have a question about LAN-to-LAN VPNs. The last exercise I practiced was to create a LAN-to-LAN VPN between two Pfsense firewalls, by using IPSEC protocols. I succeeded, with both firewalls in the same network. But I'm wondering if it's possible to do the same thing, with 2 Pfsense firewalls...
