Hi everybody,
I need help! I've been working on a database for 8 months now. The GM
was abroad for 3 months, now she's coming back this week and she'll
sure need a report for the past few months! Since this is my first job
and first time for me to use Access, I have no experience with writing
such reports! Plus I have a strong feeling that I didn't do a good
job! The other thing is that the GM is not familiar with databases and
stuff! I believe that what really matters with her are the reports, am
I right? I feel so stuck with this, and I really don't know what to
do!! Can anyone help me with this?!

What do you mean by "reports" - do you mean reporting on your data or
reporting on your design? If you want to report on your data then you'll
need to provide details of your design and what and how you want to present.
If it's a report on your design then I would say that you need to go back to
the process that your db uses and build from there.

What do you mean by "reports" - do you mean reporting on your data or reporting on your design? If you want to report on your data then you'll need to provide details of your design and what and how you want to present. If it's a report on your design then I would say that you need to go back to the process that your db uses and build from there.

do first is decide what exactly you wish to report i.e. what specific
data you wish to extract from the database itself. This is done
initially by setting up queries. You then create a report by clicking
on the 'Create new report' - deciding whether you wish to create this
using the wizard or in Design view (which gives you much more control
from the outset). You then select which queries you wish to use in the
report - and away you go!

If I understand what you're saying Louly, it's not an Access 'report'
which you wish to present, but an update on your progress. Perhaps then
you may wish to present a PowerPoint presentation to her with
appropriate screenshots from the database - I've always found that to
be impressive! To get screenshots open Word and then your Database.
When you have a database screen you wish to present press Alt+Print
Screen, toggle to the Word document and press Ctrl+V and hey presto
you've got a screen shot which you can copy into PowerPoint or, of
course, use in a Word document. Hope this is nearer the mark.
Nooooooooooooooooo, definetely not lying, not even sneaking around! I
just don't think that she'll understand why I'm disappointed and feel
down towards the system I developed!
This disappointment is due to many things:
1- My boss is not arround, she's pregnant and can't move.
2- I'm not experienced at all.
3- I'm new to the job and in developing databases using Access.
4- There are things I need to do in the system that I have absolutely
no idea how to implement them. (I'm taking a course right now.)
I want to be clear, positive, and fair. I just don't want to give in
to the negative feeling I have and transfer to her a negaive
imporession, which could be just because I'm disappoiunted. I mean
what is disappointing me could be impressive to her! Especially
because, as I said earlier, not familiar with databases.

Well then my original response still stands. Open with an overview of the
process the db functions in and detail your progress thus far. I would
emphasise where you have identified relationships and therefore kept data
duplication to a minimum. You could also detail any security or data
validation measures you've taken, that sort of thing.

It also would probably pay off in the long run if you were to be open
to the boss about where you are vis-a-vis the database - explain that
you feel that you feel you could and would want to do so much more with
Access IF you had the neccessary training - this is where you can be
positive! That can put the ball back into her court.

Ahh, ok.
The first thing to do is sit down with a piece of paper and a pen and list
all the things which went badly and list all the things which went well.
Then for each item in your list write down why it went badly/well.
In the case of the list of things which went badly try to think of ways in
which it could be done better next time or whether those items could be left
out altogether and avoided.
Once you've got all this straight what you then need to do is present this
graphically as it is always easier or people to understand what they see
rather than what they hear.
To some extent it depends on your bosses psychology as to how you present
your report. Some bosses (poor ones IMO) only want to hear good things,
others (also poor) only want answers not problems. The good ones want to
hear what problems were encountered and how you dealt with them, even if you
failed to deal adequately with the problem (at least they know what not to
suggest <g>).
In summary you need to:-
Get a clear picture of the project to date
Get a clear picture of the successes
Get a clear picture of the problems (and if and how they were resolved)
Get a clear picture of where you need to go
You must do the above because if you don't know where you are and don't know
where you need to be then you can't possibly know how to complete the most
important task of all which is:-
How do you get from where you are to where you need to be.
Which is most likely the thing your boss will be most interested in.

Don't forget that her priority is the bottom line, so do not worry too much
about the details, but about presenting an overall picture of where you are
and where you are going. Make sure you explain the benefits of what you are
doing. If the employees are going to be more productive or she will be
saving $10 for each dollar she spends on your work, she will want to know.
She's an executive, so her time is limited. Make sure you have an executive
summary, so she can skim the details.
