Archiving documents in DMS

Hi All,

Sorry if I am not in the right category or forum.

I am currently managing the DMS (Document Management System) of a medium-sized organisation.
The DMS has been developed externally by a CMS provider.

Users are currently storing their documents in the company server.

One of my future challenges will be to create a DMS tailored to users' need. The existing documents of the organisation are currently scattered everywhere in the Company server.

Now, I don't how and where (Company server or Provider server) to archive Intranet documents?
Which ideal structure this DMS should have?
