MS Access record keeps getting locked by "Admin"

I am a real newby at this so forgive me if I don't give the right information, but here is my problem:

I've created a shared MS Access database for my clinic, which we use for patient check in. At some times it is used by up to 20 people at a time. Intermittently, the file will become locked by an "Admin" and it will list which computer they are working from. The file is not split (I just learned about that), but I know it is set to be a shared file and it is saved on a shared network drive. The computer that becomes the "Admin" is not the first to open the db. Those that are already logged in are not affected by the lock, but anyone else that tries to open it after the fact are not able to get in. Sometimes the problem sporadically solves itself, and sometimes we have to exit the program on the "admin" computer and then reopen. Then everyone is able to get in. The times I've been able to find the "admin" computer that is taking exclusive access, the user is simply on the DB making their changes and using it as usual, which should not cause it to be locking up like that. HELP!

Splitting the database into a front-end and a back-end is not an option. It's not just a nice idea. If you don't do it, you're going to have this problem and worse, much worse.

Give each user their own, personal front-end copy.

Do that, then come back here if you have more problems.

I thought that might be the case... In that case a have a couple more questions...

I have over 100 potential users, each of whom may use any one of dozens of PCs. If the front end is saved on the shared network drive, will that work for everyone, or do I really need to distribute to each user, each PC? I also can't email the db or use flash drives, plus we will be using a new db each quarter so it would be a real hassle to have to install it on every PC every 3 months.

I will be the main back end user but I will be training in a secondary person in case I'm gone. Can the back end be saved on the shared drive as well, in a separate (locked?) file? Also, I would potentially be working on it from any of those PCs.

Can I make design changes to the back end (including to the forms and reports) while front end users are using the db? That would solve some problems for me too.

Everyone must have their own copy of the front-end. Your queries, reports, forms and macros are only in the front-end. The back-end is only data and the back-end must exist only once; that is, it must be on a shared network drive.

Give everyone a batch file or other tool to automatically update their copy of the front-end from time to time. You might want to add some versioning logic to enforce updates when needed. Make sure to educate them about being OUT of the program when they copy the new version to their PC.

Make all the program updates you like on your own copy of the front-end. Don't be tinkering in the back-end while others are trying to use the system.

I agree with everything that Jim has provided. You can tell he's been doing it for a while.
