I'm not sure what you mean by "only add records when shared on network."

Your Access DB should be in two parts, a front-end and a back-end. The front-end should contain queries, forms, macros modules and links to the back-end tables. The front-end should reside on each workstation. Different users can have different front-ends, so some users could have forms that other users do not.

The back-end should exist on some shared network location, and should contain only the tables.

The front-end links to the tables are set up in various ways, depending on your version of Access. 2003 and before you click on File/External Data/Link. In 2007 it's External Data/Access Button ....

You can make a user's front-end open a form and hide the database tab upon start-up by setting the start-up parameters accordingly. Again, it depends what version of Access you are using just how you do that.
