How To Avoid Duplicate Data In Report? (Access 2007)

P: 91
Hi,

I am having problem with duplicate data appearing in the report. I have selected all fields and in the property sheet I have selected "Yes" for the Hide Duplicate fields.

In the query design, I have selected "Yes" for the Unique records field.

I am attaching the report where you can see that the data is being repeated (circled in red).

Could you please advise how to get rid of duplicate data or what else should I check so that the same data is not being repeated?

Many thanks,
SG

sg2808,

Have you tried aggregating the query? Since I can't see the query itself, or the data underneath the query, it is difficult to speculate on the issue. I would begin by trying to aggregate the query, so all like values are grouped.

Or, if you could post your query/tables underlying the report (redacted and/or simplified, of course).

Try aggregating the query you currently have. See the button in Query Design View attached. Then, re run the report using this query and see if it still duplicates.

In the design view, I selected the "Totals" and ran the report but I still have the same issue.
See the screen shot of the report.

It's difficult to tell exactly how your report is grouping things. In your attachment, it's not completley clear if everything on that page belongs to "Customer Services (SAL)" and whether Peter Dodds and Hilary Butterwick are L2 Owners of Rule 2.9. There must be some sort of mismatch in the tables that is generating unique records with just Peter Dodds in one of the fields.

It would help to see the query code.
