Licensed Users Database - Help

Ok I am creating a new database for LM. One that will keep track of our licenses for over 400 users. We already have a database with the users information like name, location, telephone number, employee ID. In the licensing database so far I have created a table explaining the licensing information and gave each application a code so that each person will have that code listed in their table to reflect what software they have. I have a form that automatically opens where the Net Team here can automatically check (with control buttons) on each application to see how many licenses are available before handing out to anyone. The problem is... Sorry for rambling on... I have the employee table from the regular employee's database "linked" into the new licensing database, then ran a make table query with the licensed users (people who actually have licenses) with EVERYONE. So instead of just listing the people who have licenses we have over 400 records. I wanted to do this so I could use the combined Make Table Query Table connected to our form for when we Add a User to the Licensing Database and a drop down list will populate from that so that when someone starts to type in a persons name it will fill out correctly. The persones name has to MATCH the employee database so that the person's location automatically fills out in the licensing database. God I hope this makes sense to someone. Well the problem with this is because it is a make table query and I'm using the end result table to create the reports and forms and the tables have relationships in them so that the information will automatically "fill in" in certain fields... I can't re-update the make table query. I would have to keep "updating" this table each time one of our employees leave or change locations here at our center. Sigh.. so I need help what type of table or combined table/query could I use? I need one that when we enter a new user using a form and someone types their name in a drop down list appears and matches the employee database perfectly and one that connects to the employee database so that when someone moves the change is reflected in the licensing database. I've already ERASED what I did with the past couple days because I tried to "update" the table with that make table query and it said I had to remove the relationships in order to do this. That didn't work so I created a NEW make table query and that erased all of the new information I placed in about licensing over the past few days. Any suggestions??

Have a look at the tutorial on Database Normalization and Table Structures and see if that helps. Then try to clarify your question to specific issues. It is too confusing at the moment for the experts to tackle your problem. The tutorial should help to get you on the right road though.
