allotted time expires

I have created a table which holds field like date of receiving the letter (dd/mm/yyyy) , date of issuing the letter to incumbent (dd/mm/yyyy), time for report ( say , 7 days or 2 months or one year) , report sent ,pending or complete.

if the report sent box is not checked as 'yes' within the allotted time , the 'pending or complete' field will automatically be filled in as 'pending' and if the report sent box is marked as 'yes' within the allotted time the field will automatically be filled in as complete .

Please help me.

how do I post my table?
No need to Post the entire Table, just a subset of the data, Field Names, definition of Allotted Time, etc.
